Photography Invoice Template, With a Receipt for Every Payment
It's delivery day. The bride's father says he transferred an 8,000 EGP deposit. Your notebook says 6,000. You scroll back through months of WhatsApp looking for the Instapay screenshot while the family waits.
Paper settles this: an invoice that says what is owed, and a receipt for each payment that says what arrived and when. You'll find a template for each below, with what every field is for.
About the numbers: every amount here is an example to show the format. Put your own in their place.
Contract, invoice, receipt
The contract records what you agreed: scope, price, cancellation terms. The invoice records what the client owes and when each payment falls due. The receipt records money you received, on a given date, against a given payment.
Most studios stop at the contract. Some skip that too. You feel the gap the day you and a client remember the same number two different ways.

One invoice per booking, one receipt per payment. A booking paid in three parts gets one invoice and three receipts.
What goes on a photography invoice
Your studio's details
Studio name, phone, email, and your commercial registration number if you have one.
The client's details
Full name and phone. For weddings, put both names on it. One transfer comes from the groom's number, the next from the bride's mother's.
Invoice number and date
Number invoices in a sequence that restarts each year: 2026-001, 2026-002. When a client asks about last spring's invoice, you find it in seconds. When a number drops out of the sequence, you know a document went with it.
The service, line by line
Package: name, hours of coverage, number of edited photos, delivery time.
Printed album: size and page count.
Add-ons: video, second shooter, extra hour.
A single line reading "Wedding photography: 15,000 EGP" invites a delivery-day argument about whether the album was included. Give each item its own line and you settle that argument at booking.
Payment schedule
Deposit: amount, due date (we suggest the day they confirm), status.
Second payment: a date you set before the event.
Final payment: on or before delivery.
Copy this schedule from the contract word for word. If the two documents disagree, the client will quote whichever one suits them. Payment methods
List the channels you accept: Instapay, Vodafone Cash, bank transfer, cash. Add the wallet number or Instapay address. A client who doesn't know where to send money sends it later.

Write the amount in figures and in words. The words stop anyone turning 5,000 into 8,000 with a pen.

Mistakes we see on photographers' invoices
Treating "transferred" as a record
The message names no booking, no payment and no balance. Twenty clients into the season, you won't know which transfer belongs to which wedding.
Receipts with no balance
Put the remaining balance on every receipt. Clients remember what they paid and forget what they still owe.
One invoice for the whole wedding
When a couple books the henna, the katb el-kitab and the wedding, each event is its own booking with its own date, contract and payment schedule. Invoice each one. Everyone can then see the henna deposit is paid and the wedding's second payment is still due, and the amounts never blur together. We walk through that setup in managing multi-event weddings.
Writing the receipt days later
A receipt written a week later comes from memory. Write it when the money lands, even if it's a phone photo you send on WhatsApp.
Receipts from your booking system
Filling in a template for every payment takes time, and in peak season numbers slip. When the booking, the client and the payment schedule sit in one place, you record the payment and get a numbered receipt, and the booking's balance updates with it.

Frequently asked questions
Does an invoice replace a contract?
No. The invoice covers money. Scope, image usage rights and cancellation terms belong in the contract.
Do I need to print invoices?
No. A PDF over WhatsApp or email works, and you'll find it faster later.
How do I number receipts?
Add a letter to the invoice number: 2026-001-A for the first payment, 2026-001-B for the second.
What if the client pays cash?
Then the receipt is the only trace of the payment. Ask the client to sign a copy, or send them a photo of it on WhatsApp and keep their reply.
Do I need a formal invoice for tax?
That depends on how your business is registered. Ask an accountant about your case, and use this template to keep your client records in order.
